What data we collect and why
We only collect the data you give us in the quote request form: name, email address, phone number, town, address of the space, type of space, approximate area, services required and the description of your request.
If you click “Use my location”, your browser asks for your permission and, only if you give it, we send the coordinates of the site together with your request, so that we can find the space without any mistakes. Your location is read only once, at the moment you click the button, and is not sent to anyone else. You can remove it before sending the request.
We use this data solely to respond to your request: to contact you, arrange the visit to the space and prepare the quote. We do not use it for advertising, nor do we sell it or pass it on to anyone.
The processing is based on your consent, given when you submit the form, and on the steps necessary to prepare any contract that may be entered into between us.
How long we keep your data
Your request is kept in our email for as long as necessary to reply to you and follow up the matter.
If the request results in a maintenance contract, the documents are kept for the periods required by law, in particular tax retention periods. Otherwise, we delete the request once it is no longer needed.
Who has access
Within the company, only the people who handle quotes and organise the visits.
Outside the company, we use IT service providers that host the website, the form submission service and our email: Microsoft (Azure and Microsoft 365), with servers in the European Union. These providers process the data on our behalf and may not use it for any other purpose.
Your rights
At any time, you may:
- request access to your data and the rectification of anything that is inaccurate;
- request the erasure of your data or the restriction of processing;
- request data portability;
- object to the processing or withdraw the consent you have given.
Just write to geral@sombra-verde.com. We will reply within one month.
If you consider that we have not handled the matter properly, you may lodge a complaint with the Comissão Nacional de Proteção de Dados, the Portuguese data protection authority (www.cnpd.pt).
Security
The website is served over an encrypted connection (HTTPS) and the form is sent over that connection. Access to the company’s email is protected by individual accounts and by Microsoft 365 authentication.
Whistleblowing reports
Data received through the whistleblowing channel is processed separately, only by the persons responsible for the channel, in order to comply with Portuguese Law no. 93/2021 (Lei n.º 93/2021). The identity of the whistleblower is confidential and records are kept for 5 years or for as long as any proceedings concerning the facts are pending.
Cookies
This website does not use advertising or social media cookies. If you accept in the cookie notice, we use Google Analytics to measure visits in aggregate form; in that case, Google Ireland Limited processes that data on our behalf. The details are set out in the cookie policy.
Dispute resolution
In the event of a consumer dispute, the consumer may refer the matter to CNIACC — Centro Nacional de Informação e Arbitragem de Conflitos de Consumo, the Portuguese National Centre for Consumer Dispute Information and Arbitration (www.cniacc.pt). You may also use the Livro de Reclamações Eletrónico (Portuguese electronic Complaints Book).
